Every Steubenville South event runs because a lot of careful, behind-the-scenes work happens first. Forms need to be built and managed. Emails need to go out on time. Questions from group leaders need a warm, prompt response. Tasks need to be tracked—and finished.
We’re looking for someone who genuinely loves that kind of work, because they know what it makes possible.
✝ Who We Are
The Steubenville South Conference was the first off-campus Catholic youth conference, co-hosted by the Diocese of Alexandria and Franciscan University of Steubenville. Today, the Steubenville South Office coordinates three initiatives that serve youth and ministry leaders across the region:
- The Steubenville South High School Youth Conference
- Beyond the Limits — our Jr. High conference
- Rally — an annual training day for youth ministers, parish leaders, and volunteers
We love what we do, and we want someone who will too.
📋 The Role
The Operations & Administrative Assistant (15 hours/week) works closely with the Conference Coordinator and leadership team to keep the office organized, events on track, and communication flowing. This is a supporting role in the best sense—the kind where your work makes everyone else’s work possible.
Many responsibilities can be completed remotely. Some in-person support is required, especially around events.
⚙️ What You’ll Do
- Maintain organized digital files, databases, and workflows (including the office budget)
- Manage registration forms, communication systems, and inboxes for group leaders, volunteers, and ministry partners
- Track tasks and project timelines so important details stay on schedule
- Coordinate logistical and administrative details for all three events
- Keep project management systems up to date and moving forward
- Prep materials for meetings; assist with scheduling and follow-up
- Serve on the core operations team during conference weekends and training events
- Help with registration, logistics, materials, and setup
- Be present and engaged — events require extended time on your feet and helping carry supplies (same as the rest of the team 💪)
🙋 Is This You?
The person who’ll thrive here:
- Loves Jesus in the Eucharist and cares about the mission of the Church and the Steubenville Youth Conferences
- Is dependable, organized, and detail-oriented — the kind of person who finds real satisfaction in a well-managed inbox and a cleared task list
- Communicates warmly and professionally with group leaders, volunteers, and ministry partners
- Can keep the office running and moving even when leadership steps out
- Takes ownership of their work and follows through — especially on the unglamorous stuff
- Enjoys being part of a small team that works hard, laughs often, and genuinely loves the people it serves
If you’re the kind of person who gets a little thrill from a well-organized system, a finished checklist, or a group leader who says “thank you for making that so easy”—we really want to meet you.
🛠 Tools We Use
Experience with these is helpful. Comfort learning new tools quickly is what really matters:
✨ Why This Work Matters
Behind every Steubenville South event is a great deal of thoughtful planning and faithful teamwork. This role sits at the heart of that — ensuring the details are handled well so that teens, ministry leaders, and volunteers can encounter Christ and grow in their faith.
The systems you build and maintain make transformation possible. That’s not a small thing.
